Introduction & Definitions

This Privacy and Cookie Statement explains how OrbitXPro LLC (“OrbitXPro,” “we,” “us,” or “our”) collects, uses, stores, and protects information obtained through our services. Our services include our corporate website and our live chat and marketing solutions that may be embedded or integrated into client websites.

For clarity, when our solutions operate on a client’s website, we act as that client’s service provider and process user information on their behalf. This Statement also explains our use of cookies and similar technologies.

For the purposes of this Statement, “user information” refers to any information relating to an identified or identifiable individual, and “process” refers to any operation performed on such information, whether by automated or manual means, including but not limited to collection, recording, organization, structuring, storage, adaptation, alteration, retrieval, consultation, use, disclosure, dissemination, combination, restriction, erasure, or destruction.

What User Information Do We Collect?

What User Information Do We Collect?

When you interact with our website or a third-party website using our chat or marketing tools, we may collect technical data such as your IP address, browser type and version, operating system, device type, and user-agent string, as well as general location data derived from your IP address for analytical, security, and service-eligibility purposes.

We may also collect interaction data such as transcripts of chat sessions, including the content of your messages, timestamps, and related metadata. If you choose to provide it, we may collect contact information such as your name, phone number, email address, and physical address. For business clients, we may collect additional details including company name, billing address, payment details such as bank account or credit card information, and information about authorized representatives.

We may also collect marketing and engagement data, such as your preferences, campaign interaction history, and engagement metrics used for personalization and performance tracking. Where our services are integrated into a third-party website, we may collect this information directly or indirectly as a service provider acting on behalf of that website’s operator.

Why Do We Collect User Information & How Do We Use It?

We process user information to deliver and manage our services; forward inquiries and leads to the relevant business client; monitor and analyze service performance for quality control; detect and prevent fraudulent, bot, or malicious activity; comply with legal obligations such as lawful requests and regulatory requirements; train internal systems to improve operational accuracy and efficiency; and pursue our legitimate business interests, including dispute resolution, product development, security, and operational management.

We do not make decisions that produce legal effects based solely on automated processing, although automated tools may be used for purposes such as location verification and fraud detection.

Where Is User Information Stored and Who Receives It?

User information is stored on secure servers operated by us and/or reputable third-party hosting providers, including but not limited to Amazon Web Services and Microsoft Azure. We implement safeguards such as encryption of sensitive data in transit and at rest, role-based access controls, IP whitelisting for administrative access, continuous monitoring and logging, and limiting production system access to authorized senior personnel. Where data is collected on behalf of a business client, that client is the primary custodian of the information and we act as a contracted service provider.

We do not sell user information to unrelated third parties; disclosure occurs only when required by law or as part of legitimate legal proceedings.

Additional Privacy Measures

We maintain administrative, technical, and organizational measures designed to ensure user information is used solely for the purposes of our business relationship. These measures include direct oversight of agents operating our chat services, HTTPS for all chat and portal activities, encryption of detected sensitive contact information, secure lead delivery via encrypted portals, strict role-based access controls with activity monitoring, limited access to production environments, IP allow-listing for administrative systems, robust data anonymization for historical datasets where feasible, and the use of web application firewalls and other tools to identify and mitigate suspicious activity.

How Long Do We Keep User Information?

Unless otherwise required by law or contractual obligation, we may retain user information indefinitely for operational, analytical, legal, or archival purposes. Where feasible, historical data is anonymized to reduce identifiability.

What Are Your Rights?

Depending on your jurisdiction, you may have rights regarding your personal data, including the right to access a copy of your data; rectify inaccurate or incomplete data; request erasure under certain conditions; restrict or object to particular processing; request data portability in a structured, commonly used, machine-readable format; withdraw previously given consent; and lodge a complaint with a relevant supervisory authority. Requests can be submitted using the contact details provided below.

Cookie Consent

By using our services, you consent to our use of cookies as described in this Statement. Cookies help us distinguish you from other users, maintain your chat session across pages, provide a better experience, and improve our services.

What Are Cookies?

Cookies are small text files stored on your device when you visit a website, allowing the site to recognize your device on later visits. They support core functionality, maintain session continuity (for example, keeping a chat active across pages), remember your preferences, recognize return visits, and help measure performance.

Cookies can be:

  • Session cookies, which expire when you close your browser.

  • Persistent cookies, which remain until they expire or are deleted.

On our own website, these are OrbitXPro-controlled cookies. On client websites where our solutions run, we may set or access cookies or use other storage strictly as necessary to operate our services on the client’s behalf; these remain our responsibility. Any other cookies on a client’s site—such as analytics, advertising, or performance cookies provided by the client or third parties are controlled by the website operator or their providers and are subject to that website’s own privacy and cookie statements.

Disabling Cookies

You may disable cookies through your browser settings or available tools; however, doing so may impair or disable certain features of our services, including live chat. Our cookie usage and specific cookies may change over time, and we may update this Statement to reflect current practices. We recommend reviewing this Statement periodically.

Cookies That We Use

The specific cookies and storage mechanisms we use can change as our services evolve. On our own website, we control the cookies we deploy. On client websites, we deploy only those cookies or storage mechanisms necessary to operate our chat and marketing functionality on the client’s behalf (for example, identifiers used to maintain a chat session or recognize a returning visitor to provide conversation context). We do not deploy advertising cookies unless expressly instructed by the client pursuant to our agreement, in which case such use will be disclosed by the client in its own cookie disclosures.

Third-Party Websites Not Covered

This Statement does not govern the privacy or cookie practices of third-party websites, including client websites where our solutions are embedded. Each such website is responsible for its own cookies and disclosures. Our responsibility is limited to the user information and cookies that OrbitXPro sets or controls in connection with operating our services. You should review the privacy statements of any such third-party websites separately.

Changes to This Statement

We may update this Privacy and Cookie Statement from time to time. The most current version will be posted on our website with the effective date indicated at the top. Your continued use of our services following changes constitutes acceptance of the updated Statement.
